Payroll services are the monthly work of paying employees correctly and on time under the law: computing pay against the state minimum wage, deducting and remitting PF, ESI, Professional Tax, LWF and TDS, filing returns, issuing itemised payslips and keeping statutory registers. We provide them through a group company, with PF and ESI challans shared with you every month.

The statutory position

The Codes changed the arithmetic, state by state

The four Labour Codes commenced on 21 November 2025 and replaced twenty-nine statutes. They set one definition of wages across Provident Fund, ESI, bonus and gratuity, and cap excluded allowances at 50% of total remuneration: anything above the cap counts as wages. A structure built on a small basic and large allowances now carries higher statutory contributions, and gratuity has been accruing on the revised definition since that date.

Each state sets its own Professional Tax, minimum wages and Shops and Establishments rules, and several states have yet to notify their own rules under the Codes. We run the position for each state rather than one national assumption.

How we work

The monthly cycle

  1. Inputs close

Attendance, overtime, leave, joiners and leavers cut off on a fixed date.

  2. Validation

Attendance reconciled against deployment; joiner documents and leaver dues checked.

  3. Computation

Gross against the state minimum wage, then PF, ESI, PT, LWF and TDS.

  4. Check and release

A second person checks the run against last month before we release salary.

  5. Filing and records

Contributions remitted, challans shared with you, returns filed and registers kept.

At year end, we vet investment proofs, issue TDS certificates, compute bonus and close settlements.

Common questions

What is payroll outsourcing?

Payroll outsourcing means a specialist runs your payroll cycle for you: attendance inputs, computation, statutory deductions, salary release, filings and records. Our payroll services do this through a group company, with every run checked by a second person before release, and PF and ESI challans shared with you every month.

How does payroll outsourcing work?

It runs as a monthly cycle. Attendance, overtime, leave, joiners and leavers close on a fixed date; we validate them, compute gross pay against the state minimum wage, then PF, ESI, PT, LWF and TDS. A second person checks the run before salary is released, and then contributions are remitted, challans shared and returns filed.

What changed for payroll on 21 November 2025?

The four Labour Codes commenced, replacing twenty-nine statutes, and imposed a single definition of wages across Provident Fund, ESI, bonus and gratuity. The Codes cap allowances excluded from that definition at 50% of total remuneration. Central rules were notified on 8–9 May 2026.

Does the new wages definition increase our gratuity liability?

For most employers, yes. Employers calculate gratuity on the revised definition from 21 November 2025, and the Social Security Code extends eligibility to fixed-term employees. With a low basic and high allowances, the gratuity base is larger than it was.

Are we liable if our payroll provider fails to deposit PF?

That is what the monthly challans are for. A challan evidences every deposit, and copies come to you each month as part of the service, so whether the people are your direct employees or contract staff on your premises, you hold proof of each remittance rather than an assurance.

Can your payroll services run across several states?

Yes. Each state sets its own Professional Tax, minimum wages and Shops and Establishments obligations, and we run the position for each location rather than one national assumption.

Do you take over an existing payroll mid-year?

Yes. The transition month is the one that goes wrong, so we reconcile the year to date, the PF and ESI member records and the TDS already deducted before we run anything, and tell you what we found.
